Manpower Cyprus, on behalf of our client, one of the largest local groups in Cyprus, is seeking to recruit an experienced Executive Assistant to provide high-level administrative and operational support to the CEO and COO.
The successful candidate will act as a trusted right hand to both executives, ensuring the smooth running of their offices and enabling effective day-to-day operations in a fast-paced, international environment.
Key Responsibilities
Executive & Stakeholder Support
- Serve as the primary point of contact for the CEO and COO, managing communications and requests from internal and external stakeholders with professionalism and discretion.
- Manage complex calendars, prioritize schedules, and coordinate meetings, events, and business activities to ensure the Lead Team's time is used effectively.
- Welcome and coordinate visitors, handling queries and requests in a courteous and confidential manner.
Document & Information Management
- Prepare, edit, and format correspondence, reports, presentations, and briefing materials to a consistently high professional standard.
- Review, summarize, and consolidate reports and documents; prepare background materials and outgoing correspondence as required.
- Maintain effective document management and filing systems, ensuring all information and communications are handled with the utmost confidentiality.
Meeting & Events Coordination
- Support the preparation and distribution of documentation for management and team meetings, ensuring accuracy, clarity, and quality.
- Track meeting discussions, agreed actions, and follow-ups to ensure timely completion.
- Coordinate internal and external meetings, conferences, and corporate functions, including Group Summits.
Travel & Logistics
- Coordinate travel arrangements, accommodation, itineraries, and expense administration for the Lead Team in line with company policies.
Office Operations & Facilities
- Oversee the day-to-day activities of cleaning staff, the receptionist, and the messenger, ensuring smooth office operations.
- Liaise with the Health, Safety and Sustainability Manager on office maintenance, follow-up actions, and improvement initiatives.
- Ensure the smooth operation of office equipment, coordinating troubleshooting and liaising with service providers as needed.
- Implement, review, and continuously improve administrative and workflow processes to support the efficient functioning of the CEO and COO offices.
Projects, CSR & Digital
- Support special projects as required, including research, analysis, stakeholder communication, progress tracking, and report preparation.
- Support and coordinate Corporate Social Responsibility (CSR) initiatives in collaboration with relevant internal and external partners.
- Upload and maintain content on the company website, ensuring accuracy and timeliness.
- Perform any other role-related tasks as assigned.
Requirements
- University degree in Business Administration, Management, or a related field.
- Minimum 5 years’ experience in an Executive Assistant or senior administrative role, ideally within FMCG or a fast-paced corporate environment.
- Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Excellent command of English and Greek, both written and verbal.
- Discreet, trustworthy, and able to handle confidential information.
